This Privacy Policy explains how QMS by EaseOps (“QMS”, “we”, “us” or “our”) collects, uses, discloses and safeguards your information when you use the QMS by EaseOps mobile application, web application and this website (together, the “Service”). QMS by EaseOps is a Quality Management System for hospitals and healthcare organisations. By using the Service, you agree to the practices described in this policy.
1. Who we are
QMS by EaseOps is the data controller for personal information processed through the Service.

2. Information we collect
2.1 Information you provide
- Account & profile data: name, work email, phone number, hospital or organisation name, role/designation and login credentials.
- Operational data you enter: committee and meeting records, agendas, minutes and action items; mock drill plans, checklists, timings and observations; quality indicators (KPIs) and their values; documents such as SOPs and policies; and any attachments, photos or comments you upload.
- Enquiries: details you submit when you request a demo or contact us (such as name, hospital and phone number), including messages you send us over WhatsApp, email or phone.
2.2 Information collected automatically
- Device & technical data: device model, operating system and version, app version, language, and a device or installation identifier.
- Usage & log data: features used, actions taken, timestamps, crash reports, diagnostics and approximate IP-based location used for security and reliability.
2.3 Device permissions
With your consent, the mobile app may request certain permissions to provide specific features. You can manage these in your device settings.
- Camera & photos/media: to capture or attach photo evidence during mock drills and to upload documents.
- Storage/files: to upload and download documents and reports.
- Notifications: to send reminders for meetings, drills, document reviews and action due dates.
We do not collect precise GPS location, contacts or microphone data unless a feature explicitly requires it and you grant permission.
3. How we use your information
- To provide, operate and maintain the Service and its modules.
- To create and manage your account and authenticate access.
- To store and process the quality, committee, drill, KPI and document records you create.
- To send operational notifications and reminders you have enabled.
- To respond to demo requests, support questions and other enquiries.
- To monitor, secure, troubleshoot and improve the Service.
- To comply with legal obligations and enforce our terms.
4. Legal bases for processing
Where applicable law requires it, we rely on one or more of the following: performance of a contract (providing the Service to your organisation), your consent (for example, optional device permissions), our legitimate interests (securing and improving the Service), and compliance with legal obligations.
5. How we share information
We do not sell your personal information. We may share it only as follows:
- Within your organisation: data you enter is accessible to authorised users of your hospital’s account according to their roles and permissions.
- Service providers: trusted vendors who host, store, secure or support the Service (such as cloud hosting, database, communications and analytics providers) under confidentiality and data-protection obligations.
- Legal & safety: where required by law, court order or to protect the rights, property or safety of users and the public.
- Business transfers: in connection with a merger, acquisition or sale of assets, subject to this policy.
6. Data retention
We retain personal information for as long as your account is active or as needed to provide the Service, and thereafter as required to meet legal, accreditation, audit, tax or regulatory obligations. Operational records are retained on behalf of your organisation according to its instructions. When data is no longer required, we delete or anonymise it.
7. Data security
We use technical and organisational measures designed to protect personal information, including encryption in transit, access controls and role-based permissions. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your rights and choices
Subject to applicable law, you may request to access, correct, update, export or delete your personal information, and object to or restrict certain processing. Because much of the data is controlled by your hospital, some requests may be directed to your organisation’s administrator. To exercise your rights, contact us at support@easeops.io.
9. Account and data deletion
You can request deletion of your account and associated personal information at any time by emailing support@easeops.io with the subject line “Account Deletion Request” from your registered email address. We will verify your request and delete the data within a reasonable period, except where retention is required by law or by your organisation’s accreditation and audit obligations.
10. Children’s privacy
The Service is intended for use by hospital staff and is not directed to children. We do not knowingly collect personal information from children under the age of 18. If you believe a child has provided us with personal information, please contact us so we can remove it.
11. International data transfers
We are based in India and may process and store information in India or in other countries where our service providers operate. Where data is transferred across borders, we take steps to ensure it remains protected in line with this policy and applicable law.
12. Third-party links and services
The Service may link to third-party websites or services (for example, WhatsApp when you contact us). Their privacy practices are governed by their own policies, and we are not responsible for them.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
